Welcome to MICollab.com User's Guide.
This guide is designed to lead you through MICollab (Manifest Interactive Collaboration).
System data are not visible to people who donʼt have an account in the system and are not logged in. This rule is also applied to Search Engines, so there's no need to worry that your data will be exposed in public or pop-up on Google someday.
That's why the first thing you need to do, when you meet MICollab, is to log in to the system. To log in insert your email address and password in the login form:
In case you forgot your password, please use Forgot Password tool available on login form. This tool will email you a link with a secret code that you can use to set the new password without having to remember the old one:
Everyone, including you, have user's profile where they can set up full name, contact information, chose an avatar, and more. Each person can access their profile page and set all personal info up. To access your profile, click on Profile link in the top right corner of the page.
When page opens, your current profile will be displayed:
You can change the info you wish, by using tabs on the right:
Every user has a default avatar set when their account is created. To change it, click on the user icon and upload new one in the form that will pop up.
After you successfully log in, the main MICollab interface will appear:

Interface is made out of following sections:
There is one important interface element that will be displayed when you visit specific project - Project Tabs. These tabs give you access to all project sections.

First page you'll see after you log in is Dashboard. Itʼs designed to give you a brief overview on what's going on with your projects lately; allows you a quick access to the latest tasks, files, discussions, etc; and point out events that require your immediate attention.

Following tools are available on your dashboard tabs:
Some of these tools won't be displayed if there are no data to show you. For example, if there's no new or updated objects since your last visit, New and Updated tab will not be displayed.
When you are working on multiple projects at the same time, being able to see all your assignments in one place is important. MICollab offers a tool that does just that and itʼs available when you click Assignment button in the toolbar.

When you open this page, youʼll find a list of available assignment filters. Changing the filter in the drop-down list would reload the page and apply newly select filter to assignments in all of the projects you are working on.

If you wish to create a new filter, click on New Filer button. New page will be opened offering you to filter assignments based on following criteria:
Different combinations of the offered options enables you to create different filter and to get the information you need.
How many assignments will be displayed on the page and how they are ordered, can also be configured per filter.
Mark filter as private if you wish to be the only person who can see and use it. Other people won't be able to see and use filters you created and marked as private.
In the previous chapter we have explained how to create a new project, so it's the right time to explore project tools. These tools are listed as tabs above Page Information section:

First project tab is Project Overview page and it always has a project name as title; that's how you'll always be notify on which project you are working on. Project overview page displays:

Checklists are simple lists of tasks. Each task must be marked as done for list to be completed.
To see all the checklists in the project, click on Checklists tab. Lists are ordered by the time they were created, but you can change the order simply by dragging one Checklist to desired position.
To see the list of tasks in the checklist, click on the little arrow icon and the list will expand. Also, you can click on the checklists name and access the page where all checklist details, including tasks are displayed.
The whole Checklist can't be assigned to anyone, but individual tasks can. This allows you to have more than one person who will work on a Checklist.
When you are on Checklists tab and you have two or more checklists expanded, you can drag and drop tasks from one checklist to another.
Checklist is considered completed only if all tasks are completed. By adding a new task to completed checklist it will automatically be reopened.
Completed checklists are listed in archive. Click on the Archive link at the bottom of Checklists page to access it.
MICollab is able to gather all milestones, ticket and tasks from the project and display them all in a calendar based on the day when they are due. To access this view, click on Calendar tab:
System is aware of the person using the calendar and it will display only the tasks that person has access to.
To "zoom in" one of the days and see more details about tasks for that particular day, just click on that date's filed in the Calendar. To "zoom out" and return to the previous view where details of other days are displayed, click on that same day field again.
Milestone marks important days or phases of a project. For example, milestone can be a launch date, important meeting or a review, presentation to the client, etc. Milestone can be a time range with start and due date or a single day.
Project milestones are listed on the Milestones tab:
Milestones are sorted by the time they are due. You can use iCalendar feed to import milestone data in your favorite calendar application.
Clicking on the specific milestone from the milestones list opens a milestone details page. This page shows all milestone related info, as well as all project elements related to that specific milestone. Project items, such as checklists, discussions, files, pages and tickets, can be associated to milestone. In this way people will know to which project phase they chores belong to.
To create a new milestone, click on the New Milestone button:
A form will be presented and youʼll need to fill the milestone name, start and due date. Optionally you can add some notes that describes what that milestone is about, select the milestone's priority, and add some tags. If the milestone is a single day event, set both start and due date to be the same.
Unlike most of the other elements in the project, milestones can't be marked as private. Instead, all milestones are public and visible to everyone involved with a project who has access to Milestones section.
Rescheduling milestones is really important operation. When milestone is rescheduled, it usually requires that you reschedule all successive milestones, related items, and tasks.
To reschedule a milestone, select Reschedule link from Options drop-down while you are on milestone details page:

Reschedule form gives you a possibility to change start and due date of all successive milestones:
By default, system will not change start and due dates of successive milestones and related project items, but you may change this by making appropriate modifications in the form. If you decide, system can automatically reschedule all related tasks, successive milestones and tasks related to these milestones.
Files section is designed to enable people to share project files, discuss about them, work on them together, post new versions, and more. To access this section, click on Files project tab.
Files are ordered by the time they were uploaded, with newest on top. MICollab displays an icon next to each file based on its type and makes it easy to spot different kinds of files. If file is JPEG, GIF or PNG image, MICollab will create a thumbnail that will be displayed instead of the icon.
Click on the file name to visit the page with all the file details, including old versions and comments.
To upload new file, click on Upload Files button:
This form will enable you to upload any number of files at the same time, set their description, subscribe people, and more.
At the bottom of the form, you can select people who will receive notifications about new uploaded files. System will also send notifications to people who are subscribed when new comment or new file version are posted.
To upload a new version of a file, click on New Version link and then press Choose File button and select desired file. When new version of a file is uploaded, old versions will not be deleted. Instead, system will keep them for future references. You can see all old versions of the file, with related details, on the file's page.
Files are organized in categories. All available categories are listed on the right side of the files list. Click on the tab with category name to display only files that belongs under that section.
To manage categories, click on Manage Categories tab at the bottom of the list. A tool that gives you a possibility to create a new, or rename and delete existing categories, will pop-up:

Each project in the MICollab system has a place where people can discuss various topics. To access it, click on the Discussions tab:
This section is similar to online forums: topics that have the most recent comments are listed on top. You may mark some discussions as Important and have them listed first, no matter when was the last time they were commented. This comments are "pinned" to the top of the topic list.
To start a new discussion, click on New Discussion button. A new form where you can enter topic summary, full description, attach files, select milestones, category, etc. will be displayed:
At the bottom of the form you may select who will be notified that new discussion has been created. People you select will receive a notification each time someone posts a comment in this discussion. They can unsubscribe from these notification if they donʼt want to receive it any more.
Topics are organized in categories. All available categories are listed on the right side of the topics list. Click on the category tab to display only discussions that belong to that category.
To manage categories, click on Manage Categories tab at the bottom of the list. A tool that enables you to create new, or rename, and delete existing categories will pop-up:
Tickets are designed to make it easier for you to handle even the most complex jobs. Ticket can stand alone or be directly related to a milestone; can have unlimited number of attachments and comments; and can be broken into tasks that needs to be accomplished in order for ticket to be completed.
When you click on Tickets project tab, youʼll see the list of active tickets grouped by Milestone. If you have some Tickets that are not related to any milestone, they will be listed after the milestone-grouped ones, undre Unknown Milestone title:
Tickets are sorted by the time they were created, but you can reorder them by using drag-and-drop technique to a position you want. You can even drag a ticket to another milestone and move it in this way.
To create a ticket, click on the New Ticket button:
Only required field is ticket summary, but you can additionally provide full description, select milestone and category, attach files, set priority, add tags, pick a due date and define a visibility level. Ticket can have any number of people assigned to it, but one person from the group needs to be marked as responsible. All assignees will automatically be subscribed to the ticket.
Tickets are organized in categories. All available categories are listed in the right side tabs of the tickets list. Click on the category tab for displaying only tickets that belong to that category.
To manage categories, click on Manage Categories tab at the bottom of the list. A tool that enables you to create a new ticket category, or rename and delete existing, will pop-up:
MICollab enables people to log how much time they have spent working on a project or on a task. They can record how much time they have spent doing what and when. This information can be displayed in one of the time reports later and be used to bill your clients or pay your employees.
To see all the time logs in some particular project, click on Time project tab. It will list all time entries ordered by the moment when the work was done, with the recent entries on top:
Time can be tracked on three levels:
To track time on the project directly, visit the Time tab, and use form that is available at the top of the time entry list:
If you wish to track time on a ticket or task level, click on the little clock icon available in the Ticket, or Task detail section, and insert time information in the dialog that will pop up. This dialog also displays how much working hours is already tracked for that particular ticket or task:
The Time feature enables you to create reports that will filter out time records based on the rules you specify. For example, you can create a report that will list all time that selected team member had logged in for the past week:
A person must have proper permissions (use_time_reports and manage_time_reports permissions) to be able to use and create time reports. When he or she has these permissions, system will display Time button in the toolbar and Reports button on Time tab of specific project.
These tools act the same, with one difference - Time button in the toolbar runs reports against all projects, while Reports button in the project runs reports only for that particular project.
Additionally, time report can be exported in CSV format. Such file can easily be imported in any spreadsheet tool, such is Excel or Google Docs, for additional processing. You can also create a New Invoice out of these reports by clicking the link in the bottom of the report page.
This Week and Last Week filters use First Week Day settings from profile page of the user who is executing the report, but they support weeks to start only on Sundays or Mondays. If any other day is set in user's profile, then Monday will be used automatically.
Pages are part of MICollab where teams can work together on some text documents, no matter how complex these documents are. This section can be used for working on a simple write downs, such as blog posts, or on a complex papers, like books or product specifications.
To access this section, click on the Pages project tab.
Each project in MICollab can have as many people involved as required. People working on the project are displayed on the People project tab:
Regular users will see only the list of people who are working on that project. People who are managing the project will be able to see additional controls that allows them to add or remove people from the project, and to change their project permissions.
MICollab sends email notifications to all people involved with specific task, ticket, discussion, file, etc.
Unlike some tools that emails everyone who has something to do with a project, MICollab is designed to avoid overwhelming people with too many email messages.
If users repeatedly receive messages on issues that are not relevant to them, it's likely that they will start ignoring all notifications send by the system. Because of that, we have designed the system that emails only people who are subscribed to receive notifications about specific object, instead of sending messages to everyone about every change.
When new file, ticket, discussion, or any other object is created, person who creates it can define initial group of subscribers. System automatically subscribes people who are assigned to tasks, tickets and milestones when they are created. For other objects, author picks the group of subscribers:

Project leader and person who creates an object are always automatically subscribed.
After object has been created, other project members can subscribe themselves to receive email notifications if that object is of their interest. Existing subscribers can also unsubscribe themselves if they feel that specific object is not relevant to them.
Project leaders and people who can update specific object have the permissions to change the list of subscribers, at any time.
There is one more automated action - MICollab will automatically subscribe person who makes a new comment if that person wasn't already subscribed to that object.
MICollab is aware of the person who is making the action (creates a new object, post a comment, upload file...) and that person will never receive an email notification about the action she just have done.
